What is a Traveling Exhibit?
The North Carolina African American Heritage Commission is committed to the promotion of North Carolina's African American history, arts and culture for all people through traveling exhibits. Traveling exhibits are museums or archive exhibits, designed to be easily transported and set up in different locations.
The Loan Process
This section outlines how you, a borrowing institution can request a traveling exhibit from the lending institution, the North Carolina African American Heritage Commission. Exhibit loans are approved on the following bases:
- An exhibit's availability
- Physical condition of the exhibit
- Duration of the loan
Initial Inquiry
Start the process by submitting an exhibit loan request form. Requests will be reviewed by the program coordinator.
Please submit a request form at least 3 months prior to requested loan start date. Requests submitted earlier will have more likelihood of exhibit availability.

Formal Loan Request
Upon approval of submitted request form, the program coordinator will contact the borrowing institution to finalize details of the request and provide the Exhibit Loan Agreement. A traveling exhibit loan will not be executed until a fully completed and signed loan agreement is received by the lending institution.
In the event that your loan request is not approved, the Program Coordinator will contact the borrowing institution to discuss possible parameters to move forward with approval.
Exhibit Loan Agreement
Once the exhibit loan agreement has been signed by both the lending and borrowing institutions, then the loan will be executed for the borrowing institution. The program coordinator will provide in writing, completion of the Exhibit Loan Agreement and execution of the loan.
Additional Documents
Along with the Exhibit Loan Agreement, the borrowing institution will be provided with a full Loan Conditions List to be reviewed. Signing of the Exhibit Loan Agreement means full understanding and acceptance of the Loan Conditions List.

Fees
The North Carolina African American Heritage Commission does not charge a fee for loan requests, but the borrowing institution is responsible for all costs associated with transporting an exhibit.
Loan Duration
Exhibit availability is on a first come, first serve basis. Average loan timelines are from one to three months. For requests longer than three months, it will be considered on a case-by-case basis.
Packing and Transportation
At this time, the North Carolina African American Heritage Commission requests that pick up and drop off of the loan be fully handled by the borrowing institution. Commission staff will coordinate with the borrowing institution on designated days, times, and location for pick up and drop off.
Upon pick up, exhibits will be fully packaged in travel cases by Commission staff. It is expected for exhibits to return in the same manner in which they were packaged.
Press Releases
Along with an exhibit, the borrowing institution will be provided a press release statement to share among media channels.
Locations of the exhibits will also be updated on the NCAAHC website.
